Cancellation Policy
and Property Damage
In the event of a Camp cancellation, all fees paid will be refunded in full if notice is received in the True Friends office 30 days prior to the participant’s session. If less than 30 days notice is received, all fees paid but the deposit will be refunded. Waivered, County and Adoption Assistance contracts will NOT pay cancellation fees, therefore participants/guardians will be billed accordingly.
Property Damage
True Friends may seek compensation from participants and/or guardians for the replacement or repair of property damaged while attending our programs.
Group Home Participant Registration
True Friends advises against creating group “families” for participants from the same group home in our CampSite system. To ensure personalized service and accurate record-keeping, each individual should have their own account with distinct family names, contact details, and financial information.
Key Guidelines:
Unique Email Addresses: Each participant’s account must be associated with a unique email address. Our system does not permit sharing an email address across multiple accounts.
Registration Process: We recommend coordinating with the participant’s family or guardian to set up their CampSite account. They should also designate the primary contacts for nonbilling and billing needs.
Need Assistance? For guidance on setting up accounts for group home participants, please contact our Customer Relations team at registration@truefriends.org or 952.852.0101.

Cancellation Policy
If for any reason your child will be unable to make their scheduled appointment time, a 24-hour notice must be given in order to avoid being charged for the full session (Please note we CANNOT bill the waiver for a missed appointment, so responsibility of the full payment is on the client). We understand that sudden illnesses or emergencies arise, please call us as soon as you know your child will be unable to make their session due to illness.
Missing a session without any prior notification (no show) for any reason will be billed to the client in full. We ask that no more than three (3) cancellations occur every quarter throughout the year. The quarters will be as follows: January-March / April-June / July-September / October-December
If three (3) or more cancellations or skipped sessions occur in a given quarter, we reserve the right to schedule another family into that time slot. Sessions begin promptly at the agreed time. If the child is late for the session, the session will still finish at the scheduled time. This policy is in place out of respect for our therapists and clients. By giving last minute notice or no notice, it prevents someone else from being able to schedule into that time slot.
True Friends reserves the right to cancel a session due to circumstances beyond our control including severe weather or due to a lack of staff. If this occurs, staff will notify you within a timely manner. Clients will be rescheduled for another session or could be refunded entirely.
Extended Leave Policy
In an effort to provide effective and efficient treatment to all of our clients, it is the policy of True Friends Therapy and Adaptive Riding program, that clients taking an extended leave, exceeding three consecutive weeks, notify their therapist immediately. If a client does not notify the therapist and three consecutive weeks are missed the session time will be immediately rescheduled to another client. If your session is rescheduled, please contact True Friends if you would like to initiate therapy once again. We cannot promise that the same time, day or therapist will be available.

Travel
Deposits and Cancellation
Policy
Deposits
Deposits are required to attend a trip. All trips require a nonrefundable $500 deposit ($100 for day trips) at the time of application that will be applied toward the total cost.
Cancellation Policy
Vacations which require pre-paid purchases (airline tickets, hotel rooms, etc.) have strict cancellation policies set by airline, cruise or train companies. True Friends has no control over these penalties; therefore our cancellation policies must reflect their restrictive guidelines. If a traveler wishes to cancel their trip, any non-refundable expenses will not be refunded to the traveler. If you wish to cancel your trip you MUST notify us by email or letter. Phone conversations or voicemail messages are insufficient notification, and if no formal notice is received, we will consider you a ‘no show’.
* Trips may be cancelled due to low registrations. If this occurs, True Friends will provide a full refund (including the deposit) or transfer any fees paid to the vacation of your choice, pending availability.
Additional and Fluctuating
Costs
Travelers are responsible for additional expenses incurred on their behalf during a vacation including but not limited to: property damage, overweight or excess luggage, pay-per-view television charges, phone charges, prescription re-fills, personal care items, equipment rentals, and travel expenses related to travel disruption or delay. Airline and rail services adjust their schedules for many reasons. When this occurs, True Friends reserves the right to adjust your itinerary accordingly and will notify you as soon as possible. In the event that we are unable to secure seats or accommodations due to conditions beyond our control, such as strikes, schedule, price changes, or regulation updates, we reserve the right to contact each guest to pay an additional fee or notify of a schedule change.
